Web Preferences is only relevant for Web and Plus users if you use iBex to receive bookings via your website and sets preferences that will affect how your users can make bookings.

 

Follow the instructions below to access and update your web preferences as required.

 

It assumed you are logged in to iBex.

Select Admin | Operator from the upper Menu bar.

Click on the Web Pref button at the base of this screen and this will take you to the Web Preferences screen.

Update the following fields as required:

 

Operator ID Your unique operator or login code and is not editable

Theme Name If not set, then you can select from a number of different themes that we have provided various customers.  To view a theme, select it then save it and then click on the View page with them link to see the effect.  Choose the theme that best matches your website.  If you would like a custom theme made up, please contact your account manager.

Booking Process This determines how many rates and or rooms your guest can choose in a single booking.  You would only allow multiple rates if you have different rates for children than for adults and this will allow a user to select an adult rate and a child pax if appropriate.  Otherwise ensure your selection only involves one rate.  If you choose multiple rooms then your user can book more than one room in a single booking otherwise they will have to make multiple bookings if they want more than one room.  Single room bookings are of course less complicated and would probably cover more than 80% of your customer booking requirements. 
Note: This setting only affects the public making bookings on your website.  This means that the public can only make single room bookings but your agents could make multi room bookings. Receive Bookings From This will set the default start arrival date when your booking screen is activated.  This would be used if you are say seasonal and you are taking bookings now for a future season.  This does not prevent a user changing to an earlier date once they have accessed this screen but if they do, it will show no vacancy.  This facility is designed to ensure that your users arrival date defaults to a value when you are likely to have a vacancy.

Default Booking Offset This applies if the Receive Bookings From field is not set or has been passed.  This sets the default arrival date for anyone making a booking.  It defaults to 7 days in advance but if you are likely to be fully booked within this lead time, simply adjust this value to a more appropriate lead time.
Default Booking Duration This sets the default number of nights for anyone making a booking from the arrival date.  Normally this defaults to 2 but can be changed to any value of 1 night or more.  If you normally have a minimum stay of more than 1 night, then ensure this value at least matches your minimum stay otherwise your user will see you are unable to take them.

Room Display Order Self Explanatory

Optional Fields The only optional field is How Found which if ticked will add a “How did you find us” option to your booking screen.  You enter the options they can use in the Operator Maintenance screen.  This may be useful if you want your users to inform you how they found you for statistical purposes.

Mandatory Fields iBex has Last name, country, email and ETA as always being mandatory fields.  If you want other fields to be mandatory when receiving booking details, simply place a tick against the appropriate field.

Click the Save button.
