Sending an Email

You can send an email to email address of the contact person for a booking.  The advantage of using the iBex email facility is that you can easily track all emails that have been sent out relating to this booking.  It does not however keep track of incoming emails. 

 

It is assumed that you have logged into iBex.

 

Follow the steps below to send an email.

First retrieve the booking the contact person you wish to email as described in Retrieve a Booking - List or Retrieve a Booking - Calendar.

Click on the Email button to bring up the email dialogue box as shown in the screen shot below.

Fill out the fields as follows:
 

Customer The email address of the contact person for this booking.  If an agent has been involved in this booking, then their email address will be included in case you wish to copy the message to both customer and agent or either one individually.  This address will default to the value stored against the booking but can be overwritten if another email address is required.

Subject Enter the email subject.  This will default to Booking Notification but can be overwritten with your own subject.

Message Enter your free form text message. It must be plain text only. Please do not attempt to insert or paste graphics or non text based material.

Booking Receipt Link Tick this if you want the recipient to have a link to the booking receipt allowing them to view and print it from this email.  This only applies for on request or confirmed bookings not cancelled bookings.

Brochure Link Tick this if you want the recipient to have a link to the iBex property brochure allowing them to view and print it from this email.

Email Signature Click this link to save a standard signature that will always be included at the bottom of your emails.

Click the Send button to send the email. 
 
This will be confirmed with an Email Sent message after this button is clicked.  It will also add this email to the email log which can be viewed by clicking the Email Log button in the Booking Edit screen or selecting Email Log from the Reports menu.
