Editing a Rate

There are two screens to edit rates.  One is the Manage Rates screen and is used primarily for creating new rates and rates schedules pools and viewing validity periods for these rates for the selected room type.  The other is Set Room Rate which is called as a popup from the Calendar screen.

It is  recommended that you adjust existing rates from the Set Room Rate function in the Calendar screen as it is much simpler.

 
Follow the steps below to edit a rate using the Manage Rates screen.

 

It assumed you are logged in to iBex.

Select Admin | Room Type from the upper Menu bar.

Select the required room you wish to  edit rates for, then click the Rates button (towards the bottom of the screen.

To edit the rate master fields, update as follows:
 
Selected Room -  This is the room type that this rate is assigned to.

Selected Rate Schedule If you have more than one rate schedule, then select it here.

Selected Rate Only displayed when editing and existing rate.  Select the rate you wish to edit from this list box if not the rate that it has defaulted to. 

Rate Code For a selected rate, it will display the iBex system number for this rate.  If you want to enter a new rate then click the New button at the bottom of the screen and this field will display “Registering NEW Rate Code”.

Rate Name Enter the Rate Name or change the displayed name.

Short Name - Enter a short code for this name for display in width limited screens like the calendar.  If no short name entered, the system will enter the first 8 characters of the full rate name.

Primary Rate? A yes indicates that this rate can be used for finding minimum rates for promotional purposes.  Rates like Daily or Adult will normally be a primary rate but other rates such as Child will not.

Package Rate This is for rates such as stay 7 pay 5.  It will allow for the entry of a fixed rate component for the first 7 nights and a nightly rate thereafter.  An example is given below.

Valid For Tick if this rate is valid for Adult, Child and Infant.  For example, a child only rate will not have the Adult box ticked.  Also, if you are promoting a honeymoon special, then you will not have Child and Infant ticked and it will clearly indicated to the customer that children and infants are not provided for.

Minimum Pax Enter the minimum number of guests that can use this rate.

Maximum Pax Enter the maximum number of guests that can use this rate.

Delete Rates for Min Stay If you have multiple min stay values for this rate, you can remove specific validity periods as described below but if you want to remove ALL rates for this rate type and minimum stay then select it here for deletion.

Status Select Active if this rate applies or Inactive if this rate is no longer used.

Conditions/Inclusions Enter any inclusions e.g. Includes Continental Breakfast and this will be displayed to your customer while making the booking.

Click the Save button.
 

 

 

At the bottom of the Manage Rates screen will be a listing of currently defined rates under the title of Manage Rate Detail as shown in the example below:

In this example, we can see multiple rate periods for minimum stay of 1 night and 3 nights.  If you wish to view only those rates with a minimum stay of 3 nights, simply enter 3 into the Min Stay select box to reveal a display for those rates where the minimum stay is 3 nights as shown below:

This makes it easier to view the rate values for a set minimum night stay. 

 

To edit the values for say the period from 1 Nov 05 to 31 Dec 05, click on the Edit Rate Period for this period which will result in a screen as shown in the next example.

From this screen, you can alter the valid from and valid to date and the rate values.  Note that the rate values are entered from 1 Pax to the max pax for this room type.  Rate 1 is the main rate value and Rate 2 and Rate 3 columns are only completed if you have agents or wholesalers who have rates that are different to what you enter in Rate 1.

 

To save any changes to the values in the above screen, click the Save button.  To enter a new validity period, either click the New button or go back to the previous screen and click on Create New Rate Period link.

 

The Delete button is clicked to delete the rate value for the selected minimum stay and validity period only. 

 

Alternatively, in the previous screen, you could click on the Delete Rate Period link.  For example, if you wanted to delete the period for a minimum stay of 3 nights from 1 Jan 06 to 31 Jan 06 in the above example, the delete rate period option will roll up this option into the rate immediately prior.  In this case, the $140/night rate would be deleted and the $130/night rate would be extended from 31 Dec 05 to 31 Jan 06 as per the screen example below:
