Edit a Booking

First retrieve the required booking as described in Retrieve a Booking - List or Retrieve a Booking - Calendar.

 

It is assumed that you have logged into the iBex system.
 

Follow the steps below to edit the booking.

Retrieve the required booking to enter the Edit Booking screen.

Make changes as required to the fields as described below:

 

Ref No the iBex reservation or reference number and is not editable.
Property the name of the property referenced in this reservation and is not editable.

Status the current status of this booking and not editable.

Name the name of the contact person associated with this booking.

Date In The date of arrival. If changed, will result in a rebook of this booking which may not be allowed depending on availability of rooms.

Date Out The date of departure. If changed, will result in a rebook of this booking which may not be allowed depending on availability of rooms.

Of Regd User If this booking is for a registered user, then enter or change it here.  If selected and contact details have not been filled in then selecting a registered user will automatically load the contact details.

Address the address details of the contact person.

Booked On the date this booking was originally made - not editable.

Country the country of the contact person.

NZ Stats Only applies to NZ users and identifies the country for NZ dept of Stats report.

Booked By If booked by a registered user then the id of this user is displayed here. Not editable.

Last Update The date of the last update to this booking not editable.

Found Via This lists any predefined advertising sources so that you can pick which source may have been involved in making this sale e.g. Yellow Pages.  The list is personal to you.  If a source is not represented, then you can add a new source via the Or Found Via field immediately below.

Email the email address of the contact person.

Phone the phone number of the contact person.

Room Value The value of the booking excluding extras.  Not editable.

CC Type the credit card type from a list of types acceptable to you if this booking is being paid for by credit card AND a payment gateway is NOT involved.

Extras the value of any extras sold with this booking not editable.

CC No the credit card number if booking paid for by credit card AND a payment gateway is NOT involved.

Discount the level of discount/commission agreed to for this booking.

CC Expiry the credit card expiry date if booking paid for by credit card AND a payment gateway is NOT involved.

Total The total value of the bookings equal to the Room Value + Extras not editable.

CC Name The credit card name if booking paid for by credit card AND a payment gateway is NOT involved.

Deposit the value of deposit taken for this booking at the time the booking was made.

Reference your reference for this booking.

Comments user comments when this booking was created.

Guest Names details of any guest names.

Make changes to the Room Details fields as described in Create a New Booking
 
If there are any room or rate changes, this will result in a rebook which may be unsuccessful if new room and/or dates are unavailable.

Click the Save button to save any changes otherwise click the button for any of the following relevant functions:

 

New Create a new booking.

Add Room Click this to add a new room type to this booking.

Detail Click to display a copy of the booking receipt for the guest.

Email - Click to bring up an email dialogue box for sending an email associated with this booking.

Email Log Click to display a list of all emails that have been sent regarding this booking including auto emails such as when a guest makes a booking on your website.

Extras Click to display any extras associated with this booking.  If a record found then the details can be modified.  If not found, an extra can be added by clicking on the Add Extra button that will now be displayed.  Click Rooms to return to the previous screen.

Confirm Only displayed and in orange colour if this is an On Request booking waiting for confirmation.  If clicked, will confirm this booking as described in section 4.6.

Full If you see this button displayed, then you must have defined room units, and there are no empty units left for this On Request booking.  Confirm will not be displayed in this case.  You must therefore either cancel this booking or move the booking to a room type that has available units.

Cancel If this is orange then this is an On Request booking that will be cancelled and an auto email will be produced. If already confirmed then this will be the normal colour and cancelling this booking will not result in an auto email.

Checkout This will only be displayed for confirmed bookings. Click this to see a list of transactions against this booking that are used to create an invoice.  For more details, refer to Invoicing in section 5.

Exit Clicking this simply closes the window.
