Creating a Rate

Follow the steps below to create a rate.

 

It assumed you are logged in to iBex.

Select Admin | Room Type from the upper Menu bar.

Select the required room you wish to add rates for, then click the Rates button (towards the bottom of the screen.

If no rates have yet been defined then the screen will be ready to receive new rate details otherwise the details of an existing rate will be displayed. 
 
To enter a new rate, click the New button which will clear the screen and indicate to you in red that you are registering a new rate code.

Complete fields as follows:
 
Selected Room -  This is the room type that this new rate will be assigned to.

Selected Rate Schedule This will default to the Main schedule.  If you have more than one rate schedule, then select it here if is not to be the main schedule

Enter New Rate Schedule -  If you want to add a new rate schedule, enter the name of the new schedule in the field.

Rate Code This field will display “Registering NEW Rate Code” in red.

Rate Name Enter the Rate Name or change the displayed name - mandatory.

Short Name - Enter a short code for this name for display in width limited screens like the calendar.  If no short name entered, the system will enter the first 8 characters of the full rate name.

Primary Rate? A yes indicates that this rate can be used for finding minimum rates for promotional purposes.  Rates like Daily or Adult will normally be a primary rate but other rates such as Child will not.

Package Rate This is for rates such as stay 7 pay 5.  It will allow for the entry of a fixed rate component for the first 7 nights and a nightly rate thereafter.  An example is given below.

Valid For Tick if this rate is valid for Adult, Child and Infant.  For example, a child only rate will not have the Adult box ticked.  Also, if you are promoting a honeymoon special, then you will not have Child and Infant ticked and it will clearly indicated to the customer that children and infants are not provided for.

Minimum Pax Enter the minimum number of guests that can use this rate.

Maximum Pax Enter the maximum number of guests that can use this rate.

Status Select Active if this rate applies or Inactive if this rate is not to be initially used.

Conditions/Inclusions Enter any inclusions e.g. Includes Continental Breakfast and this will be displayed to your customer while making the booking.

Click the Save button.

Once you have clicked Save as in step 5 above, continue to add rate period details using the following steps.

From step 4 above, you will have saved the rate master details and at the bottom of the screen, you will now see Manage Rate Detail.
 
If this is a new rate then there will be no records shown but a link on the right titled Create New Rate Period should be clicked.  This will bring up the Manage Rate Detail screen (refer example 1 screen shot below).

Enter rate detail fields as follows:
 

Valid From This defaults to the current date but can be adjusted into the future.

Valid To This is optional and if not set will allow this rate to remain indefinitely or until a future valid from date is entered.  If entered, the rate will be null after the valid to date is exceeded.

Minimum Stay Select the minimum nights this rate value will apply to.  If you want to enter multiple minimum nights, then after saving this record, you simply add a new rate period for this rate name but with a new minimum stay.  iBex will automatically apply the correct rate for the length of stay for those with multiple min stay rate periods.

 

Rate Values Nightly Rates

In the Rate Allocation display (refer first screen shot below for example Nightly Rates), you will see a column labeled No Pax which will have a row for a pax count from min pax to max pax as defined in the Manage Room Type screen. There are 3 columns labeled Rate 1, Rate2, & Rate 3.  These are the Rate Groups as defined above.  Enter the appropriate rate in the rate group fields for the number of pax.  If you only use one rate group then this must the Rate 1 column.

 

Rate Values Package Rates

In the Rate Allocation display (refer second screen shot below for example Package Rates), you will see a column labeled No Pax which will have a row for a pax count from min pax to max pax as defined in the Manage Room Type screen.  There are 6 columns labeled Fixed 1, Fixed 2, Fixed 3 and Rate 1, Rate2 & Rate 3.  The 1, 2 and 3 represents which Rate Groups they refer to as defined above.  Enter the fixed part of the rate in the Fixed fields and the nightly rate in the Rate fields against the number of pax and rate group accordingly.  As an example, say you had a Stay 5 Pay 3 rate and the normal rate is $100/night for all pax.  You would first set the Minimum Stay to 5 nights and the full value of the 3 night stay into each of the Pax rows in the Fixed 1 column or $300.  In the Rate 1 fields, enter $100.  If you stay longer than 5 nights, the rate will use the $300 for the first 5 nights then $100/night for any extra night. Of course you will need to alter these values if there are different rates for different pax numbers.

Rate Values Weekly Rates

These are rates that have a weekly cycle (eg. weekend rates may be different to weekday rates).  These cannot be package rates. In this case, you will see the same screen as in Nightly rates but this time, click the Fill button and this will bring up the Rate Bulk Entry screen (refer screen shot below for example Weekly Rates - image 1).  Select the Valid From date.  Then enter the Nbr Weeks (number of weeks) this rate will apply for (e.g. 52 for a year) then enter the Minimum Stay. Now enter the default values as per the example in the screen shot and then click the Fill button.  This will result in the second part of the screen being allowing you to enter different values for different days of the week.  In the example as per screen shot Weekly Rates  - image 2, we have increased the rate by 20% for Friday and Saturday nights.

On completion of rates entry, click the Save button.
